Microsoft 365 and Google Workspace

Mail from your own domain lands in the recipient’s junk folder when SPF, DKIM and DMARC are not set. That is half an hour of DNS work that fixes a problem companies spend months blaming on luck.
Microsoft 365 or Google Workspace
Microsoft 365 makes sense when the company works in Word and Excel with macros, complex spreadsheets or templates that do not carry over well to other programs. Mail comes with Teams, SharePoint and OneDrive, and the higher plans include device management through Intune.
Google Workspace is simpler to administer and runs in the browser on any device. It suits teams that edit documents together and do not depend on desktop Office.
Both have two factor sign in, document sharing and user management. The difference usually comes down to which tools people are already used to.
What we recommend
Unless there is a strong reason to choose Google, we recommend Microsoft 365 Business Standard or Business Premium for most companies, because clients, accounting firms and suppliers mostly exchange Word and Excel files. Premium adds conditional access and Intune, which pays off when staff work from their own devices or on laptops that leave the office.
Switching from one to the other later is possible, but it means another migration of mail, documents and permissions. So the choice is worth making once, based on how the company actually works, not on which plan is cheaper in the first month.
How we set up the domain and mail
We roll DMARC out in stages. First comes a p=none policy with reports, to see every service sending mail on behalf of the domain: the web shop, the invoicing software, the newsletter. Once all of them are covered by SPF and signed with DKIM, the policy is tightened to p=quarantine and then to p=reject. From then on, forged mail in your name no longer reaches recipients.

Common questions
Can we keep our existing email addresses?
Yes. The addresses stay the same because they belong to your domain. Only the server the MX records point to changes. Old mail, contacts and calendars are moved before the switchover.
What happens when an employee leaves?
The account is blocked, and the mail and documents are handed over to another person or to a shared mailbox. The licence can then be assigned to a new employee.
How much does Microsoft 365 cost?
Licences are paid per user according to Microsoft's or Google's price list, depending on the plan. The migration and setup work depends on the number of users and the amount of mail, and you get a quote after we have looked at your current setup.
